Board Member Roles & ResponsibilitiesConsidering a nomination or wondering what NACUMS Board service entails? The duties and expectations of each board position are outlined below and can also be found in the NACUMS Bylaws under ARTICLE IV – OFFICERS, Sections 4 & 5. Board members play a crucial role in guiding the association, shaping policies, and advancing the mission of NACUMS. Serving on the board is a rewarding opportunity to contribute leadership, expertise, and vision to the future of mail services in higher education. Explore the responsibilities below and consider nominating a qualified member today! All positions are for a two-year term, excluding President-Elect, which is a one-year term. PresidentThe President shall be the principal officer of the Association and the chairperson of the Board of Directors. Subject to the control of the Board of Directors, the President shall act as the chief executive officer of the Association and shall, in general, supervise the business and affairs of the Association. The President shall, when present, preside at all meetings of the Membership and, in general, excluding the duties of the Secretary as defined in Subsection 7 of this Section, perform all duties incident to the office of President and such other duties as may be prescribed by the Board of Directors from time-to-time. The President will have responsibility for all external relations of the Association, which will include the Association’s interactions with outside organizations, vendors, and/or the US Postal Service. President-Elect - Election Eligible This Year!The President-Elect shall act as assistant to the President and assume duties as assigned by the President. In the permanent or long-term absence of the President, the President-Elect shall have all the powers and prerogatives of the President. The tenure of the President-Elect is a learning experience and all efforts should be made to obtain the necessary experience to lead the Association. TreasurerThe Treasurer shall: (a) have charge and custody of and be responsible for all funds and securities of the Association; (b) receive money due and payable to the Association from any source whatsoever, and deposit all such money in the name of the Association in such banks, trust companies or other depositories as shall be selected in accordance with the provisions of Article X of these Bylaws; (c) in general, perform all the duties incident to the office of Treasurer and such other duties as from time-to-time may be assigned by the Board of Directors; and (d)additionally, it is the responsibility of the Treasurer to maintain and supply financial information as requested by the President of the Association Secretary - Election Eligible This Year!The Secretary shall: (a) prepare the minutes of the Board of Directors' meetings and keep them in one or more books provided for that purpose; (b) authenticate such records of the Association as shall from time to time be required; (c) see that all notices are duly given in accordance with the provisions of these Bylaws or as required by law; (d) be custodian of the corporate records and of the seal of the Association, if any, and see that the seal of the Association, if any, is affixed to all documents the execution of which on behalf of the Association under its seal is duly authorized; (e) keep a register of the post office address of each Director; and (f) in general, perform all duties incident to the office of Secretary and such other duties as from time to time may be assigned to him/her by the President or the Board of Directors Elected Directors - Election Eligible This Year (2 Positions)!All corporate powers of the Association shall be exercised by or under the authority of the Board of Directors and the affairs of the Association shall be managed under the direction of the Board of Directors. Additionally, the duties of the Board of Directors shall be to assist the President in control and management of the Association, to act on matters involved with the expenditure of funds, and to consider and make recommendations for resolutions to be presented to the voting body. MTAC Representative - Election Eligible This Year!The Mailers Technical Advisory Committee (MTAC) has been the Postal Service's major customer advisory committee since it was formed in 1965. Each member association has an association executive and up to three other representatives. NACUMS was granted membership on MTAC in 1995. MTAC meetings are held quarterly at USPS headquarters in Washington, DC. Following each meeting, the NACUMS representatives issue a report to NACUMS members, which is posted on the website. Travel expenses to MTAC meetings are reimbursed to the individual by NACUMS. Per a change in process approved by the board of directors, during the annual meeting held in July 2012 the new MTAC representative schedule is as follows: Two of the three NACUMS MTAC representatives will be voted on to serve a two-year term, one seat will be voted on by the membership during the general election to be held in the same year as voting for President-elect, the other seat will be voted on by the board of directors during the first term of a new President. During a term as President-elect this position automatically occupies on of the three seats, the President of NACUMS holds the title of Association Executive to MTAC. Council of Regionals (Appointed Position)This position is appointed by the NACUMS Board of Directors to represent the regional organizations. Serving as a board member is a rewarding opportunity to contribute to the organization's mission and make a meaningful impact. The Council of Regionals can expect to dedicate approximately 10 hours per month to fulfilling their responsibilities, which may include attending meetings, participating in committees, and supporting key initiatives. This commitment ensures active engagement in the organization's leadership and decision-making processes.

Travel Support for Board MembersNACUMS provides support throughout the year for individuals who hold positions as Executive Officers, Directors, MTAC Representatives, and volunteers as needed. Support comes in the form of reimbursement for travel expenses incurred for NACUMS business, such as travel to the annual board of directors meeting, travel to quarterly MTAC meetings in Washington DC at USPS Headquarters, and other travel required to perform business for the association.
